Optic Acquisition LLC ("Optic Acquisition," "we," "us," or "our") is a California limited liability company that provides digital marketing, web design, and marketing automation services to businesses. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit opticacquisition.com (the "Site"), communicate with us by phone, email, or text message, submit a form, or engage our services (collectively, the "Services").

By using the Site or Services, you agree to this Privacy Policy. If you do not agree, please do not use the Site or Services.

1. Who this policy covers

This policy applies to:

• Visitors to the Site and to landing pages we operate for our own business
• Prospects who contact us, book a call, or submit a form
• Clients and their authorized representatives
• Anyone who opts in to receive text messages from Optic Acquisition

This policy does not cover data we process on behalf of our clients inside their own systems (for example, leads generated by a client's advertising campaign). In those cases we act as a service provider to the client, and the client's own privacy policy governs.

2. Information we collect

Information you give us directly

• Contact details: name, business name, email address, phone number, mailing address
• Business details: industry, website, service area, advertising budget, and other information you share on forms, questionnaires, or calls
• Account and billing details: payment method information (processed by our payment processor; we do not store full card numbers), invoices, and payment history
• Communications: emails, text messages, call notes, chat messages, and meeting recordings or transcripts when you are notified and consent
• Platform access: credentials or access grants you provide so we can manage your advertising accounts, CRM, website, or domain (for example Meta Business Manager, Google Ads, or GoHighLevel)

Information collected automatically

• Device and usage data: IP address, browser type, operating system, pages viewed, referring URL, time on page, and clicks
• Cookies and similar technologies, including advertising pixels (see Section 6)
• Form and page analytics from tools such as Google Analytics and the Meta Pixel

Information from third parties

• Referral partners who introduce you to us
• Advertising and analytics platforms (Meta, Google) that report aggregated campaign performance
• Public business sources such as your website, Google Business Profile, or social media pages

3. How we use information

We use personal information to:

• Respond to inquiries, schedule calls, and send proposals
• Deliver, manage, and improve the Services, including advertising campaigns, websites, funnels, and automations we build for clients
• Set up and maintain client accounts, invoices, and payments
• Send service communications such as onboarding steps, appointment reminders, campaign updates, and billing notices
• Send marketing communications about our services when you have opted in, which you may stop at any time
• Measure and improve the Site and our own marketing
• Detect, prevent, and address fraud, security incidents, and technical issues
• Comply with legal obligations and enforce our agreements

We do not sell personal information, and we do not use it for automated decision-making that produces legal or similarly significant effects.

4. SMS and text messaging

Consent. We send text messages only to people who have given prior express consent, for example by checking an SMS opt-in box on one of our forms, replying to a text we sent after you contacted us, or asking us verbally during a call to text you. Consent to receive text messages is not a condition of purchasing any goods or services.

What we text about. Messages may include appointment confirmations and reminders, replies to your inquiries, onboarding and project updates, account and billing notices, and, if you separately opted in, occasional marketing about our services.

Mobile information is not shared. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All categories of sharing described in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, except as required to deliver the messages (for example, our messaging platform provider and mobile carriers) or as required by law.

Opting out. You can opt out at any time by replying STOP to any message. After you send STOP, we will send one final message confirming you have been unsubscribed, and no further messages will be sent unless you opt in again. For help, reply HELP or email [email protected].

Message frequency and rates. Message frequency varies by your relationship with us. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.

Records. We keep a record of your opt-in (date, time, source, and phone number) and your opt-out so we can honor your preferences and demonstrate compliance.

5. How we share information

We share personal information only as described below. We do not sell it, and we do not share it with third parties for their own marketing.

• Service providers that help us operate the business under contract, such as our CRM and messaging platform (GoHighLevel), email and productivity tools (Google Workspace), payment processors, website hosting, scheduling, analytics, and project management tools. They may use the information only to provide services to us.
• Advertising and analytics platforms such as Meta and Google, which receive data through cookies and pixels on the Site as described in Section 6.
• Contractors and team members who work on your account and are bound by confidentiality obligations.
• Referral partners, limited to confirming that a referred prospect became a client, so we can honor referral agreements. We do not share your contact details or campaign data with them.
• Legal and safety: when required by law, subpoena, or court order, or when reasonably necessary to protect our rights, property, or safety or those of others.
• Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.

As stated in Section 4, text messaging opt-in data and consent are never shared with third parties for any purpose other than delivering the messages you asked for.

6. Cookies, tracking, and advertising

The Site uses cookies, pixels, and similar technologies to make the Site work, understand how it is used, and measure and improve our own advertising. These may include:

• Google Analytics, to understand traffic and behavior on the Site
• The Meta Pixel and Conversions API, to measure the performance of our Facebook and Instagram ads and to show relevant ads to people who have visited the Site
• Google Ads conversion tracking and remarketing tags
• Session recording or heatmap tools, if enabled, to see how visitors use pages

You can control cookies through your browser settings. You can opt out of personalized advertising through Meta's ad preferences, Google's ad settings, and the Digital Advertising Alliance opt-out page. The Site does not currently respond to browser "Do Not Track" signals, but we honor Global Privacy Control signals where required by law.

7. Data retention and security

We keep personal information for as long as needed to provide the Services, maintain business records, resolve disputes, and comply with legal and tax obligations. Client account records are generally kept for the length of the engagement plus seven years. SMS consent records are kept for at least four years after your last message or opt-out. Prospect records with no activity are reviewed and deleted on a periodic basis.

We use reasonable administrative, technical, and physical safeguards to protect personal information, including access controls, two-factor authentication on core platforms, encrypted connections, and limiting access to team members who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by law.

8. Your privacy rights

You may contact us at any time to:

• Access the personal information we hold about you
• Correct inaccurate information
• Delete your information, subject to legal retention requirements
• Opt out of marketing emails (use the unsubscribe link) or text messages (reply STOP)
• Withdraw consent you previously gave

California residents. Under the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA), California residents may have the right to know what personal information we collect, use, and disclose; to request deletion or correction; to opt out of the sale or sharing of personal information; and to not be discriminated against for exercising these rights. We do not sell personal information. Cookies and pixels used for cross-context behavioral advertising may be considered "sharing" under California law; you can opt out using the controls described in Section 6 or by contacting us. Optic Acquisition may fall below the revenue and data-volume thresholds that trigger CCPA obligations; we honor these requests regardless.

To exercise any right, email [email protected] with the subject line "Privacy Request." We will verify your identity using the contact details on file and respond within 45 days. You may designate an authorized agent to make a request on your behalf.

9. Children

The Site and Services are intended for businesses and adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.

10. Third-party links

The Site may link to other websites and platforms we do not control, including client sites, Meta, Google, and scheduling tools. Their privacy practices are governed by their own policies.

11. Changes to this policy

We may update this Privacy Policy from time to time. The effective date at the top shows when it was last revised. Material changes will be posted on the Site, and continued use of the Site or Services after that date means you accept the updated policy.
